Behind the scenes of Tuesday Social: Hosting a business event in York

We’re delighted to welcome the Pick & Mix Marketing team as our guest bloggers this month. Pick & Mix Marketing, York’s leading social media marketing agency, have partnered with us for a number of years now helping to market Bedern. The team recently hosted their very first networking event, Tuesday Social, here in the Hall. Why did they choose our venue and what was involved in the preparation? Here is a glimpse behind the scenes…

 

The start of Tuesday Social…

While we love being social online at Pick & Mix Marketing, we also love being social offline! The whole team regularly attend networking events in York and enjoy the opportunity to meet people. That said, we’d not yet found a networking event that was “social” in both senses of the word. We wanted to chat with local people while sharing what’s new in social media in order to help others grow their businesses. So, we decided to make our own event!

 

What made us choose Bedern Hall…

Since we’ve worked with Roger and the team at Bedern for over half a decade now, we knew we could rely on them to help us build a knock-out event. We wanted to give something back to Bedern too! The hall relies on event bookings in order pay for its upkeep. We were pleased to know our fee would go towards the preservation of one of York’s best-kept historic buildings. It’s also a beautiful setting!

Getting it right for our guests… 

One of the reasons we believe the event was so successful was because we did our research. Before settling on a time and date, we asked potential delegates when would suit them. That way, we had the best chance of them being able to come along.

Deciding on the details…

Once we had agreed the bare bones of the event with Roger, we spoke to Laura Drinkeld, Bedern’s Venue, Weddings and Events Coordinator. Laura was able to tell us about possible layouts and answer our questions about equipment. We planned to do a presentation so Laura made sure the projector and screen would be ready for us.

 

Promoting the event.. 

Marketing! Unsurprisingly one of our favourite parts of the event preparation… We added Tuesday Social to Eventbrite which provided an easy way for people to book, but also discover the event when searching what’s on in York. We created a Facebook event with Bedern Hall as a co-host so they could share it on their page. We recorded live Facebook videos and shouted about Tuesday Social well in advance through to the day before on LinkedIn, Instagram and Twitter.

Checking the final arrangements…

Roger and Laura called us a couple of weeks before Tuesday Social to chat through how we wanted the event to run. They asked also checked in with us about final numbers in the week before. We knew they had everything under control!

 

Arriving on the day…

Elly, Laura and Kerry from Bedern Hall’s in-house events and catering team had prepared the room perfectly before we arrived. With Bedern being so stunning, we didn’t need to add anything by way of decoration. We could relax and enjoy.

 

Welcoming our guests…  

While Jess, Sally and Sian B greeted our guests, team Bedern served tea and coffee while generally making sure everyone was comfortable. They stayed on hand to help throughout the networking event. It was a very friendly atmosphere!

 

Business Event York

 

All in all, we were really pleased with our first Tuesday Social- a sell-out success! The smooth running was a credit to the Bedern Hall team and we’ll be happily returning to host with them again for our next event on 5th May.
